The organisation needed a unified scheduling system to automate matching and keep stakeholders aligned.
Before the platform, the staffing and scheduling team depended heavily on Excel sheets to manage:
- Candidate and doctor data: Availability, skills, locations, and preferences.
- Scheduling logistics: Candidates and doctors scheduling against client requirements.
- Shift management: Client requirements, shift patterns, and last-minute changes.
- Manual matching: Matching candidates to shifts with constant back-and-forth edits on shared spreadsheets.
This approach was:
- Error-prone: Multiple versions of the same sheet and no single source of truth.
- Slow: Schedulers had to filter, sort, and cross-check data manually for every booking.
- Difficult to scale: Hard to manage when the number of candidates, doctors, and clients increased.

A smart scheduling module powered by AI-based candidate suggestions, fully integrated with a KPI dashboard.

- Centralised availability management: Availability data for candidates and doctors is captured directly in the platform and visualised in dedicated availability sections for both groups.
- AI-driven candidate suggestions: When a consultant opens a shift or booking request, the system proposes the most relevant candidates based on skills, compliance status, location, historic bookings, and availability patterns. (AI layer and matching rules can be customised per client.)
- One-click scheduling actions: From the availability and bookings area, consultants can move from viewing available candidates to creating or confirming bookings with minimal steps.
- End-to-end linkage: Confirmed bookings flow into timesheets, payroll, and invoicing sections, ensuring that scheduling decisions and financial KPIs stay in sync.

Development Approach
- Process redesign: Analysed existing Excel-based scheduling workflows to replicate the useful structures while eliminating manual steps and duplication.
- AI matching logic: Designed a matching model that considers clinical requirements, shift details, compliance status, and availability to surface high-probability matches automatically.
- Modular integration: Integrated the scheduling engine tightly with the metrics dashboard, so every scheduling action immediately impacts KPIs for bookings, utilisation, timesheets, payroll, and invoices.
